Presenting Author Requirements

  • Abstracts should be relevant to the main meeting’s theme. 
  • Submissions should be made by the presenting author. 
  • Communications will be sent to the submitting author only. Please whitelist oxfordabstracts.com to ensure you receive notifications.
  • If your abstract is accepted for presentation, you will be required to register for the meeting to confirm your acceptance and be included in the journal proceedings. 

How to Submit an Abstract

Submission Procedure:

  1. Submit an Abstract in our system
  2. Register to attend the ASRI Meeting
  3. Amend your Abstract prior to the deadline (if needed). Once you have completed your initial submission, you may return to the system to edit your abstract at any time prior to the deadline.

Abstract Format Requirements

Begin your abstract with the abstract title, author’s names, and author’s, affiliations. Underline the name of the presenting author. Abstracts should be structured and consist of no more than 500 words, and organized into four paragraphs labeled: Problem, Method of Study, Results and Conclusions. Please see sample formatting below.

ABSTRACT TITLE -  Maximum 20 words.  Please capitalize the first letter of the first word. The remaining words should not be capitalized. Please do NOT end the title with a period

AUTHORS & AFFILIATIONS - You must enter the names of ALL AUTHORS (including yourself if you are an author) in the order in which you wish them to appear in the printed journal text. You will also need to include their institution, city, state and country.  Author names entered in any other section will NOT be printed in the author index or the final program.

ABSTRACT BODY - Please include your abstract body below (max 500 words). No tables or images will be allowed.   Your abstract must be organized into four separate paragraphs:  Problem / Method of Study / Results / Conclusions

CATEGORY- Select Clinical or Basic Science

PRESENTATION PREFERENCE - Select Poster or Oral. (*Invited Speakers should choose the Invited Speaker option)

GUSDON COMPETITION - TRAINEES ONLY.  Indicate if you wish to be considered for this award.  Applicants will be required to upload a letter from their supervisor attesting to their trainee status.

TRAVEL GRANT - Select if you would like to be considered for a travel grant to attend the meeting.  *Note: for 2021, there will be no travel grants as the meeting is fully online and no travel is required.

PERMISSIONS - Acknowledge author permissions and authorize publication online in the journal.

REGISTRATION - Confirm that at least 1 presenting author will register for and attend the meeting to present the work.

Notifications of Acceptance

Notices of poster acceptance, oral presentations, Gusdon Award finalists, and travel grants will be emailed to the submitting authors in MARCH.   All accepted papers will be published online in the May issue of the Journal of Reproductive Immunology.

 Abstract submitters may login to the system to check the status of your abstract using the link in your original confirmation email.

There are three (3) types of acceptance:

Poster Presentations

Maximum printed size: 4' high x 4' wide

Posters will be mounted on 4x8 traditional boards. Push pins will be provided.  Poster  numbers will be indicated on the boards.


Posters should include the title of the abstract and the names and affiliations of the authors.  All information should be readable from distances of four 4 feet (1.2 m) or more.  Times New Roman or Arial font size 12 is recommended.


Mounting:

  • Sunday, May 18 after 12pm

Removal:

  • Wednesday, May 21 after 3pm

Oral Presentations

Abstracts selected for Oral presentation will have a total of 15 minutes including Q&A for their short talk at the meeting.

Oral presenters should prepare a PowerPoint presentation in 16:9 format with no more than 12 slides.

Gusdon Finalists (Trainees only)

The Dr. John Gusdon Memorial New Investigator Award is given annually to a new investigator with trainee status who has made a significant contribution by presenting an outstanding research paper during the annual meeting of the ASRI. 

When you submit your abstract, please check whether you would like to be considered for the Gusdon Award and provide proof of trainee status by letter from supervisor.   

Gusdon Finalists will be judged onsite during the Gusdon session.  Awards will be presented at the Awards Dinner on Wednesday evening.  All finalists must be present.
